The consultant will be responsible for payroll services, payroll administration, payroll taxes, communication, and employee benefits. Day-to-day tasks include managing payroll processes, administering benefits programs, ensuring compliance with payroll regulations, and effectively communicating with employees regarding payroll and benefits.

Responsibilities:
Benefits Administration

  • Cost Control: Evaluate the cost-effectiveness of benefits plans and recommend adjustments to balance costs with employee satisfaction and retention.
  • Employee Education & Communication: Develop communication materials to ensure employees understand their benefits options and can make informed decisions.
  • Claims Management: Assist in resolving issues related to benefits claims, including disputes or errors in coverage

Payroll Management

  • Payroll Processing: Manage and oversee accurate, timely payroll processing for the organisation, ensuring all data is correct, including salaries, bonuses, deductions, and commissions.
  • Payroll Data Management: Review payroll data for accuracy and make necessary adjustments as needed.

Regulatory Compliance

  • Audit Support & Preparation: Prepare the organisation for Department of Labor (DOL) audits or other regulatory investigations related to payroll and benefits practices.
  • Records Management: Assist the organisation in maintaining accurate and compliant records related to payroll, benefits, and leave, ensuring all necessary documents are in place for audit purposes.

Cost Analysis and Budgeting

  •  Cost Projections: Conduct financial assessments of employee benefits programs and payroll systems to help optimize spending and identify cost-saving opportunities.
  • ROI Analysis: Evaluate the return on investment (ROI) of benefit programs and recommend adjustments to ensure the organization is maximizing value.
  • Employee Support: Provide ongoing support to employees for payroll inquiries, benefits questions, and compliance concerns, ensuring timely and accurate communication.
  • Training: Develop and deliver training to the HR team, managers, and employees on benefits offerings, payroll processes, and legal compliance issues.
  • Engagement Strategies: Help improve employee engagement on the organisations benefits through targeted communication and education programs.

Consultation and Strategic Advisory

  • Strategic Planning: Collaborate with the HR team to develop long-term benefits strategies that align with business goals, employee needs, and industry trends.
  • Risk Management: Advise the organisation on risk mitigation strategies for both payroll and benefits, including preventing payroll errors, tax penalties, and compliance violations.
  • Process Improvement: Recommend and implement best practices to improve efficiency in payroll processing, benefits administration, and related workflows.

Data Analysis and Reporting

  • Leave Data Management: Analyse and manage leave data (sick leave and paid time off), ensuring compliance with relevant labour laws and company policies.
  • Payroll & Benefits Reporting: Develop and maintain reports for management on payroll expenses, and compliance status.
  • Trend Analysis: Use data to identify trends in payroll errors, or compliance issues and propose corrective actions.

 

Qualifications Required:

  • Grade 12/Matric
  • Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field.

 

Work Experience:

  • 5+ years of experience in payroll, benefits administration.

 

Knowledge and Skills Required:

  • In-depth knowledge of payroll systems and HRIS (Human Resource Information Systems).
  • Proficiency in regulatory compliance and labour laws.
  • Strong analytical skills with experience in data analysis for leave management, benefits cost analysis, and payroll audits.
  • Excellent communication skills for advising clients, training staff, and creating employee communications.
  • Experience with Department of Labour (DOL) audits and handling audits related to payroll and benefits compliance.
